Job Description:

The Internship and Career Center (ICC) provides career-advising services to all students and administers a variety of internship and career-related programs. Our mission is to support students in career exploration and in gaining valuable workplace skills prior to graduation. 

Student staff working in the reception area are responsible for creating a welcoming, professional atmosphere, providing reception coverage and clerical support. This includes answering basic advising questions in the absence of staff and peer advisors within the parameters of the position.

Responsibilities include, but are not limited to: 

  • Welcome visitors in an approachable, professional, and friendly demeanor.
  • General triage and intake advising to students in regards to internship placement, Handshake, resume writing, cover letter writing, interview preparation and career fair preparation.
  • Answer phones and route calls to appropriate staff in a courteous and professional manner.
  • Send professional email correspondence on behalf of the ICC.
  • Assist with special projects to support program areas as needed.
  • Maintain continuity among work teams by documenting and communicating actions.
  • Take an active role in outreach activities of the ICC which may include marketing/publicity, public speaking, tabling, information sessions, career fairs, and occasional projects/events that may occur outside of 10am - 4pm.
  • Assist ICC team to develop and implement marketing strategies for ICC social media sites.
  • Perform basic clerical duties.
  • Knowledgeable about the ICC’s website and Handshake.
  • Attend mandatory training (see below) and weekly staff meetings.
  • Must maintain student and alumni confidentiality at all times, per FERPA guidelines.

MINIMUM QUALIFICATIONS:

  • Must be an enrolled UC Davis undergraduate student who has completed at least one year at UC Davis by position start date.
  • Must be a registered UC Davis student until at least June 2025 who can commit to the Receptionist role for a full academic year.
  • Knowledge of ICC and campus resources with the ability to refer students to these resources as needed.
  • Previous experience with customer service, peer advising, office work, or related experience.
  • Effective organizational, interpersonal, problem solving and communication skills.
  • Ability to demonstrate self-motivation, creativity, innovation, and initiative.
  • Excellent listening skills and respectful communication with diverse students.
  • Basic computer skills (e.g. Word, Excel, PowerPoint, database programs) and skills to operate standard office equipment (e.g. printer, multi-line phone)

MANDATORY PAID TRAINING SESSIONS:

 (1) Must attend Spring Training:

  • Must be available for up to 20 hours of paid training during Spring Quarter. This training will be scheduled throughout Spring Quarter, based on ICC event/workshop schedules and ICC advising hours.
  • Must be available to attend one hour of the Spring Internship and Career Fair on Wednesday, April 17, 2024 from 10:00AM - 2:00PM. 

(2) Must attend Fall Training:

  • Candidate should be available as early as September 1st, 2024 for mandatory paid Fall Training, confirmation of dates/times/location will be provided during the interview process. This training will be composed of general ICC training and specific program area training.

(3) Ongoing Training:

  • Weekly team meetings throughout the academic year.
  • Ongoing training opportunities will be scheduled by your supervisor throughout Fall Quarter based on ICC events, career fairs, workshops, advising hours, and program area topics.

EMPLOYMENT PERIOD AND HOURS:

  • April  2024 (Spring Quarter) to June 2025 (Spring Quarter)
  • Usual schedule is 8-10 hours/week through the academic quarter between 10 am and 4 pm (flexible around class schedule)
  • May require occasional evening or weekend hours discussed in advance
  • Joining date is Monday, April 1st 2024 to allow for online trainings or shadowing opportunities prior to in-person training in the Fall Quarter.
  • May have online trainings and/or shadowing opportunities in Spring 2024. 
  • Pay Rate: $16.50 / hr

This position is expected to work in person in South Hall for the academic school year. This may change depending on UC Davis Campus guidelines for employees.
